Welcome to MailRoute. This guide will help you get up and running with our email security services. Follow these steps to ensure a smooth onboarding process and to familiarize yourself with essential features.
We recommend you action these steps in this order:

1. Account Setup
Before you change your MX records, make sure your MailRoute settings are complete.
- Login to the MailRoute Control Panel and set up your password
- Verify your Inbound MailServer. This is where we will relay your clean inbound mail.
- Add any necessary Admins to your Customer Account.
- Add any necessary Contacts to your Customer Account. Be sure at least one emergency contact has an email address that is separate from your domain so that we can reach you if you're having problems with your email server!
- Set up your account Passkey (preferred) or other multi-factor authentication (MFA) for enhanced security
- Ensure all domains including Domain Aliases are listed in the Control Panel
2. Add Account Users

There are several methods of adding user to the Control Panel before you begin relaying. We recommend adding users with any of the methods below however, as a default, we have "Auto Add" enabled until you have had a chance to set up your complete email address list. Once you have added all users or set up synchronization, you can disable "Auto Add".

- Microsoft Office 365 Government GCC High Sync
- Google Workspace Sync
- Configure Active Directory/LDAP Sync (Enterprise+ plans)
*All users need to be added to the Control Panel or mail will bounce once the MX records have changed.
3. Domain Configuration
Now the account is ready on MailRoute, change your MX Records to begin relaying mail through our filters.
You will be changing the MX record for the domain to point to mail.mailroute.net
Here are how you can do this on various DNS services:
Once you have done this, mail will start flowing through MailRoute. Check to see if it's working properly:

Check mail logs in MailRoute Control Panel to view live mail relay or check for mailserver errors.
4. Lockdown your mailserver - Secure your mail
Once the MX records have propagated and mail is flowing you will need to lockdown your mailserver. This will prevent spammers and malware from connecting directly to your server to relay email, bypassing your new email protection.
- Configure your domain to only receive mail from MailRoute's block of IPs
- Check your Lockdown status in the Diagnostics tab of MailRoute Control Panel
5. Disable SPF checks on your mailserver.
We're the ones responsible for this now. If your mailserver does additional SPF checks, then it could result in mail being rejected by your mail server.
*If you have used our configuration instructions for Office 365 or Google Workspace and MailRoute, SPF checks will already by disabled.
6. Enable Outbound Relay (optional, but recommended)
Our Outbound relay is included with the service and is recommended - besides offering added protection and decreasing load on your mailserver, it allows us to more accurately filter your inbound mail as we learn about your mail traffic patterns.
Please note our outbound relay is for standard business use (no newsletters, transactional or bulk mailings permitted)
- Set up SPF, DKIM, and DMARC before you begin relaying
- Visit the 'Outbound Servers' tab in the MailRoute Control Panel to request permission to outbound mail relay.
- For security reasons, we have an hourly outbound quota for users. Once a user goes over their hourly quota, mail will be refused. The quota is designed to work generously within the parameters of standard business mail but help in cases of stopping malware or viruses if a user becomes infected.
- Send an email from your domain to check@mailroute.net to receive an email with your domain's current configuration status.
7. Quarantine Management
- Default quarantine notification emails are set to occur daily. You can add or change the frequency of in the Quarantine Notifications tab of our Control Panel.
- Admins can customize the actions and text in quarantine notifications for their users in the MailRoute Control Panel. Go to the Notification Preferences tab to customize the email.
- Educate your users they will receive a quarantine email of spam we've recently caught. Our standard spam cut off is 7 and users should be cautious of releasing mail which scores highly.
8. Continuity (Enterprise+ plans)
- MailRoute’s 24/7 Mailbox Continuity is included and already enabled with Enterprise and Compliance plans. It is a secure, reliable disaster-recovery email solution.
- Since the MailRoute Continuity service requires your users to login to https://continuity.mailroute.net to access their stored email, be sure that passwords are set up for each user, before you actually need Continuity.
